Sessions Guidelines

Please read the following information according to Oral and Poster Sessions carefully to ensure a smooth and well-organized session.

Oral Presentations

Session Format
Each session is chaired by one or two Session Chairs, who will introduce the speakers and moderate the discussion.

Presentation Time
  • Plenary speakers: 30 minutes (25 min presentation + 5 min Q&A)
  • Other speakers: 10 minutes (7 min presentation + 3 min Q&A)
! Time limits are strictly enforced and cannot be changed.

Session Room Equipment
The session room is equipped with:
  • Computer
  • Data projector
  • Microphone
  • Wireless presenter with laser pointer.

Before the Session
  • Please arrive at the session room at least 15 minutes in advance. This will give you time to check-in with the Session Chair prior to the start of the session.
  • Upload your presentation to the conference coputer in advance (at least 15 minutes before your session starts)

File Requirements
  • Formats: PowerPoint (.ppt, or .pptx) or PDF format
  • Other formats may not be supported.

Technical Recommendations
  • Inform the technician in advance if your presentation includes video or audio
  • Test your presentation during a long break (morning or lunch), not just before the session
  • Avoid last-minute troubleshooting

Using Your Own Laptop
  • Inform the technician at least 1 hour before the session
  • Ensure your device has an HDMI connection (bring an adapter if needed)
  • We also recommend carrying a backup in a USB stick, just in case
  • If you are going to project straight from your USB flash disk, also please inform the technician

During the Presentation
  • Keep within the allocated time
  • Follow the instructions of the Session Chair
  • Ensure your slides are clear and readable

Q&A Session
  • Answer questions clearly and concisely
  • For longer discussions, continue the conversation after the session

After the session
  • If you wish your file to be deleted immediately, please inform the technical stuff
  • All files will be removed from conference computer after the event. Your files will not be shared further

Poster Presentations

General Information
  • Posters will be displayed on the second floor, near the lunch and refreshment
  • Each poster is assigned one full day of display
  • You have been allocated an entire day for your poster presentation, which includes dedicated time during lunch and coffee breaks

Poster Session
  • The poster session will take place during lunch (60 minutes)
  • Presenters must be present at their poster during the assigned session
  • Be prepared to briefly explain your work and answer questions
! For the contest participation, attendance during the full session is required.

Good Practices
  • Keep your explanation clear and concise
  • Focus on key results and main message
  • Engage with the audience and encourage discussion
  • Use your time wisely: try to concentrate your information, so that the audience doesn’t get bored. The longer the speech, the less attention you get.

Mounting and Removal
  • Mounting materials will be available at the poster help desk
  • Posters must be removed at the end of your session conference day
  • Posters left after the session will be removed and discarded
